Specifications should be developed by a team consisting of those who purchase and use the products. Information on a specification may include the product's exact name, its intended use, packaging and purchase unit information, grade, and market form. Other information may include color, place of origin, temperature control and, if desired, acceptable substitutes.

A process can be used to develop product specifications. Steps include determining needed products, learning about available products, and matching specifications of available products with needed products. Then it is important to determine which products best meet the operation's needs, create a specification draft, and request advice about the specification from production staff. Finally, the specification development team should revise the specification as needed, seek approval if the establishment requires it, send the specification to vendors, and use them as an important part of the purchasing process.
