A meeting/event manager should become familiar with some of the basic audio equipment needed to produce successful sound at the event. Audio systems help set the tone for the meeting/event and can evoke a variety of emotions. Depending on the needs of the attendees, an event can require the use of microphones, speaker systems, and recording equipment. A meeting/event manager must determine the number and types of microphones needed for attendees to hear information at a meeting/event. Microphones can be placed in a fixed location, such as on a podium, or they can be wireless, to allow a speaker to move around the site. Meeting managers must consider the number of speakers at a meeting/event, as well as the style of the speaker. Fixed microphones are best for a program with many speakers or for those that tend to speak strictly from the podium, while wireless microphones are good for energetic speakers that like to move around. The meeting/event manager must also consider microphones needed for audience response. Microphones have also advanced to soft-sided cubes, designed to be tossed around the audience to support interaction. Additional microphones require additional equipment, such as mixers (mixing or sound boards), for the best audio quality.

A meeting manager may want to consider loud speakers and sound systems (depending on audience and room size). Quality is an important component, not just for the audience at the meeting/event, but also for meetings that will be recorded. Digital recording devices can be used to record a meeting for future listeners for the purpose of transcriptions. Live streaming events should consider all audio in the event and the quality as the audio will be instantly viewed online and poor quality or uncaptured audio silences will deter the digital audience.

Music is a popular enhancement to more than just social events. General sessions, meal functions, and networking breaks all may contain music. Purchased online or played through a streaming service, music played publicly may be subject to licensing fees. BMI is an organization designed to represent songwriters and artists for licensing purchases.
